Glossary for Confluence is designed to help you build, manage and integrate an unlimited number of terms within dedicated, and centralized glossaries. Additionally, the highlights feature allows you to find and access terms (along with their definitions and metadata) through a simple click directly within other spaces and pages. This contributes to revamping the overall wiki experience and allowing your teams to access useful information in a quick and timely manner. The app is available on Cloud, Data Center, and Server. 

# What’s new in Glossary for Confluence? 

The latest release of Glossary for Confluence comes with a host of exciting new features, performance enhancements, and more.

## A New Unified Glossary View

For this new release, we are introducing a whole new global view. A brand new dashboard easily accessed to incorporate all Confluence instance glossaries in one view. 

Easily accessible by users, this new dashboard acts as your gateway for all glossaries, terms, and labels created across the Confluence instance. 

The Glossaries dashboard consists of three main views: **Terms, Glossaries, and Labels**.

**To access the new Glossaries dashboard: **

1. Navigate to your Confluence instance or your Confluence space
2. Click “Apps” in the top menu

3. Select “Glossaries”

You will be redirected to the global dashboard that consists of three main views: Terms, Glossaries, and Labels.

### **1. Terms View:**

Terms view displays all terms created across your Confluence instance in multiple spaces all in one view. This view is designed to provide you with quick access to all terms, without the need to navigate to each space glossary dashboard.

You can control your terms display in the view in Grid , List, or Bullet list display. As well as visualize the term along with its definition and metadata.

The Terms section comes with a variety of filter options in your Terms view. You can filter terms displayed by Space, Language, User, Date, Term, Definition, Synonym, etc

You can customize the terms view display with the Order By feature. Terms can be ordered by Ascending or descending  term as well as date of term creation.

### 2. Glossaries View

The Glossaries view is a centralized dashboard of all glossaries created across your Confluence instance. All glossaries are visible along with all terms and active letters regardless of the language.

You can filter glossaries view display by grouping glossaries by Space or Language. You can also filter your search results in this view by specifying the Space, Language, Users, or Date.

### 3. Labels View

This third view section displays all created labels associated with all terms created across all your instance glossaries.

Labels are displayed within either a list or board view and you can visualize the number of terms associated with each label.


**Search and Filtering options**

You can search for terms, glossaries, and labels simply by typing your query in the search bar. Results will appear depending on the view you are in. For example, if you are in Terms view, you can manage your search results using the Filter and Order By features as well as your terms' display format (Grid, List, and more).

## Import JSON files to your Glossaries

Starting from this latest release, users can now import glossaries in JSON file format. This feature comes in addition to importing CSV files to widen the range of file format options to import your glossaries in. 


**To import a JSON file to glossary:**

1. Navigate to your glossary dashboard or glossary view and select “Import JSON”.

2. You can import your JSON files directly or Browse and Select the file you want to upload.

3. Specify the glossary language and set your import policy. Choose whether you want to keep or replace existing terms.

4. Click Import.
5. The app will now process your file to confirm its compatibility.

Once glossary finishes processing your file, your JSON file content will be uploaded to your glossary. 

## Allow Anonymous Access to your space glossaries

As Atlassian rolled out the anonymous access mode for Confluence. External users can now access content without requiring a Confluence license. At Vectors, we've put effort into integrating this option within our Glossary for Confluence Cloud app.

Confluence cloud users  can now enable external users to view their glossary space content in anonymous mode, providing accessibility to a broader audience.


To enable anonymous mode for Glossary, You need to enable Anonymous Mode in your Confluence Instance.  

- **Enable Global Anonymous Access permissions in Your Confluence Instance:**

First, you need to make sure anonymous access is enabled in the Confluence instance global permissions. To do so, follow these steps: ** **


1. Navigate to your Confluence instance.
2. Click on the  gear icon(  ) in the top-right corner to open Confluence Administration.
3. Scroll down the left side menu bar, and Click “Global Permissions”

4. Select “Anonymous Access”

5. Now click on “Edit” and check the “**Use Confluence**” box to enable anonymous access for this instance.
6. You can also choose whether anonymous users are able to view user profiles of any of your logged in users by checking the box under **“View User Profile**”.

7. Finally, Click “Save”

You are done configuring the Anonymous Access global permissions in your Confluence instance. Now it’s time to enable anonymous access for the Confluence space in which you want to share your Glossary content with external users. 

- **Enable Anonymous Access in your Confluence Space.**

1. Navigate to Your Confluence space “Space Settings” > “Space Permissions” > “Anonymous Access”

2. Click “Edit”

3. Select actions you want to permit to your users by checking their respective boxes or simply click “ Select All”
4. Finally, Click “Save”

And there you have it, you enabled anonymous access to your Confluence space including your space glossaries. 

Your users can now access the space glossaries without the need for a confluence license or logging in. They can also view this content in incognito mode.

Getting Started

In this first section, we will walk you through the two most important actions that you will take upon installing Glossary: **Creating your first glossary and adding your first term.** Throughout our different releases, we have worked on simplifying the process and making it as simple and straightforward as possible.

## Create your first glossary

Creating your first glossary is a simple process composed of five main steps:

1. First, navigate to your Confluence space
2. Select Glossary from the left navigation menu
3. Select “**Add new glossary**”
4. Add the glossary title along with the language
5. Click **Create**

**And there you have it...you have just created your first glossary!**

## Add your first term

Upon creating your first glossary, you will land on the glossary dashboard. There you can start adding terms and definitions to your glossary.

1. Within the glossary dashboard, select **create > + Term**
2. Specify the term, its glossary, definition along with metadata such as synonym, abbreviations and rich media
3. Click **Create**

Now that you have created your first glossary and added your first term, let’s walkthrough the app’s main views and how you can start managing both your glossaries and terms.

## Create Glossaries within a Personal Space

You can also create glossaries within your personal Confluence space. This addition combines ease of access and privacy as you can list all of your terms in one place and allow/restrict access.

1. To begin, navigate to your personal space
2. Click Glossary from the left menu
3. The process is similar to regular space glossaries. Click “Add new glossary” and specify the language. Please note that you can create one glossary per language.

4. With the glossary now created, you can start adding your terms. Click “Create”, include the term along with its definition and metadata.
5. Click “Create”.

# Glossary views

The glossary app is based on four main views: **a centralized dashboard > the glossary view > the letter page, and finally the term page.**

## 1. Glossary dashboard (NEW)

The glossaries you have created along with all the terms created regardless of the language are all visible within the glossary dashboard.

## 2. Glossary view

The Glossary view gives you a detailed view of a specific glossary. The glossary view consists of three main sections: Terms, letters and labels. 

### Terms

### Letters

The letters section showcases all active letters within your glossary. This view  is different depending on the selected language. For example, if you select English, the view will contain the 26 letters of the English alphabet, whereas if you select German, the view will contain the same alphabet plus the umlauted letters: ä, ö, ü, and the ß.

### Labels

The labels section is an effective way to find and access terms associated with specific labels.

By clicking on preview, you can have a more in depth view of the terms within each label. Labels will then be listed on the left hand side of the view giving you a shortcut to easily navigate across labels.

## 3. Letter page

For this new release, the old letter page has been incorporated within the glossary view allowing for a seamless experience. Each letter can be accessed from the left navigation menu containing all active letters within your glossary. is content-rich and gives you complete freedom over both the creation and management of terms. Similar to the glossary  view, the emphasis has been placed on simplicity and ease of navigation.

## 4. Term page

The Terms page is the final piece of the glossary structure as shown in the highlighted breadcrumb on top of the page. We moved from a centralized glossary dashboard, to specific glossary view, an incorporated letter page, and finally the term page. The page displays the term in further detail and allows you to manage the terms in question either by editing or deleting it.

# Highlighting terms

For the latest release of the glossary app (1.0.6), we have introduced the new highlight feature. With highlights, you can locate terms directly within spaces without having to refer to the glossary.

## Create terms directly within spaces

To encourage users to contribute more often, we have decided to facilitate the term creation process and integrate it within all of your confluence’s spaces (not only within the letter page). All you have to do is highlight the term in question, select “Add term” and fill the term creation form. The form, in this case, includes two additional fields compared to the standard creation form (you have to specify the space in which you want to add the term as well as the language).

## Highlight Terms within Spaces

To highlight terms, click on the glossary icon at the top of your Confluence page. You would be directed to a “Dialog” page where you can find all the highlighted terms displayed, of course, according to your predefined settings.

To access a term’s metadata (definition, synonyms, space…), just click on the term and a resizable right-side panel will be open containing all the available saved data about that term. You can access the term’s page in its glossary by clicking on the term’s title and its space by clicking on the space name. If the name is available in multiple spaces sources you can navigate via the top right navigation arrows through terms data in each space. To close the side panel click on the cross located on the top left side of the panel.

# Import & Export Glossaries

Starting from this latest release, users can both import and export glossaries. 

This feature comes in handy for users willing to migrate their glossaries to Confluence Cloud without having to build them from scratch using CSV files.

A new gear  icon ⚙️  has been added within both the glossary space dashboard and individual glossaries. This way you can choose to import or to export all glossaries and terms within a space (from the glossary space dashboard) or just a specific glossary (from the glossary view).

**To import a glossary:**

1. Navigate to your glossary dashboard or glossary view and select “Import CSV” from gear ( ⚙️ ) icon

2. You can import your CSV file directly or choose our template to better format your file. You can find below the template sample to use.

> ⚠️ please use ";" (Semicolon) as column separator and for multi-options fields like labels, synonyms or abbreviations please use "," (comma) within column.

3. Select the default language if it has not been assigned in the file within Language’s Key column. Once specifed, terms that has no language set will be automatically to select language within drop down menu.

4. Choose whether to keep or replace existing terms.
5. Click Import.

Here are the common errors associated with importing glossaries, rewritten as sentences:

- "*Term duplicate in file*" - This error occurs when a term is duplicated within the imported file.
- "*Term title is empty or Term maximum length is superior to 80 characters*" - This error indicates that the title of a term exceeds the maximum limit of 80 characters or that the title field is left empty, which is mandatory.
- "Definition is superior to 200k characters" - This error occurs when the definition of a term is excessively long and exceeds the acceptable limit.
- "Definition length is less than 5 characters" - This error indicates that the definition of a term is too short and does not meet the required minimum length of 5 characters.
- "Language key is not acceptable" - This error signifies that the language key used for a particular term is not acceptable or does not match the predefined language codes

**To Export a glossary:**

Similar to the import feature we have covered above, you can export glossaries as CSV files. You can export all glossaries and terms from the glossary space dashboard or terms of a specific glossary from the glossary view.

1. Navigate to your glossary dashboard or view
2. Click “Export to CSV” and the file will be immediately downloaded.

As shown below, the exported file is properly formatted and include the following columns:

- Terms
- Definition
- Creator and creation date
- Metadata (label, synonym, abbreviation)
- Language's key

Glossary configuration

Depending on the possible access and editing restrictions, some users might not be able to either access or edit the global configuration. This is why we have included two types of configuration: the global one (active by default and applicable to all spaces and glossaries), local/space configuration (to be activated when you wish to make changes only at a space level).

## Global configuration  


The global configuration is activated by default and is applicable to all spaces and glossaries. Only designated Confluence admins to have editing rights to perform changes.

To access the global configuration for the glossary, click on the “Settings” icon in the top bar menu. You will land on the global configuration page for Confluence. From there, click on “Glossary Configuration” in the left navigation menu.

The glossary configuration page consists of three main tabs:

1. Theme: Within the theme tab, you can change how terms are displayed and highlighted. There are three options available to you.

**Term background**-**color:** choose the wished background for the highlighted terms. You can change the color either by using the color picker or by writing a correct hex format color (the color circle will change to the entered color if your entered code is correct).

**Term color: **Similar to the above process, you can change the terms colors.

**Text style: **Select one or a combination of text styles. The available options include Bold, Italic, or underlined text.

All the performed changes will be immediately displayed within the “Theme Preview” box. This way you can visualize changes as you make them without having to go back and forth between settings and spaces.

2. Highlight: The Highlight tab is where you configure which terms to highlight along with their sources, accuracy, and occurrence.

**Terms space(s) source(s): **Determine the space from which you want to highlight terms. Possible options include (1) Current: highlight only the terms that are saved in the current space glossaries, (2) All: highlight the terms that are saved in all the spaces’ glossaries, and (3) Custom: select the space's source from the available spaces in your instance, a multi-select is possible also.

**Highlight options: **Choose whether to highlight synonyms and/or abbreviations in addition to terms. If selected, both options will be highlighted in a similar way to terms.

**Accuracy: **Select one of two values “Partially” or “Exactly”. If you select “Partially”, only the sub-term will be highlighted. For example, if you search for “Vect” within “Vectors”, only “Vect” would be highlighted and not the entire term. On the other hand, if you select “Exactly”, only the exact term would be highlighted.

**Occurrence: **Set the number of times a given term is highlighted. For example, if a term is repeated five times within the same page, then only the first one is highlighted. The number of occurrences is set to one by default.

3. Other: This tab contains two options. You can choose whether the search is case sensitive or diacritic characters should be matched (For example "piękny" would match "piekny". It is particularly helpful for language such as French and  German that contain a host of special characters)

## Local/space configuration

The local/space configuration is designed to help you change the settings only for a specific space. For this, you would have to access the glossary local configuration and enable “Override global configuration”. Once this is done, you can follow the same above steps to select your preferences.
