FAQ for Confluence is designed to help you build FAQ pages filled with frequently asked questions and answers organized by categories. 

The app deals with a variety of use cases (Product documentation, guidelines, knowledge base, and more) and helps you better connect with your workforce as well as external stakeholders, facilitate access to information and save time for users.

# What's new in FAQ for Confluence? & what has changed?

For the latest release of FAQ for Confluence, we have worked on a new user experience, look & feel, and of course, a host of exciting new features.

## New landing view

We have revamped the landing experience to directly show core elements = Questions. Once you open your FAQ view you will directly see a listing of all your questions tagged with category and FAQ container information. 

## A streamlined and simpler creation experience

For this new release, we have placed the emphasis on simplicity, ease of creation and access. 

You can add questions from multiple locations within the app including the main dashboard and the FAQ page. This way, contributors will have a much easier time getting started with the app, adding questions and filling FAQ pages.

## Enhanced search and filtering options

Within the different views, there are a host of filtering options allowing you to personalize the view and quickly locate FAQ pages, questions & categories. You can filter by category, contributor or creation period.

## Labels / tags management

In previous versions, users were able to add labels during the creation of both FAQ pages and questions. However, we had to conceal these features due to compatibility issues with Atlassian APIs, which led to malfunctions in the FAQ module. Notably, these labels were not searchable, and users were unable to leverage them via the API or the Confluence UI. 

Currently, we are actively exploring new avenues to incorporate tags and labels into your questions, complementing the existing categorization system.

For users who included labels to questions in old versions or coming from a Server > Cloud migration, those labels are not lost and will be displayed in the answer body. 

## FAQ Ownership and delete action are now based on space permission

Previously, only FAQ owners had the capability to delete FAQs. We have made the decision to deprecate this feature, with the intent of introducing a dedicated management system for FAQ permissions within the FAQ Module in future versions.

In the current version, FAQ permissions are related to space permissions as explained below:

## Statistics in FAQ Page

We have streamlined the FAQ page by removing the Pie chart, ensuring it is exclusively focused on presenting Questions and knowledge content.

Additionally, statistics pertaining to the total number of questions can now be found within the search bar, while we are actively seeking user input to create a dedicated statistics view centered around FAQ usage.

# Creating your first FAQ page:

Your journey with FAQ for Confluence starts by creating your first FAQ page. For this, you have to go through the following steps:

- Navigate to the space where you want to create an FAQ page.
- Select FAQ from the left navigation menu.
- Click “Add FAQ”.

- Choose the FAQ’s title, description and icon.

- Click “Confirm”.

And there you have it, your first FAQ page has been created.

## FAQ dashboard

Upon creating your first FAQ page, you will land on the newly designed FAQ dashboard. Think of the dashboard as your gateway for all FAQ pages, questions, answers and categories.

The dashboard consists of three main sections: All questions, All FAQs and All categories.

## All questions:

The “All questions” section displays all questions created within a given space. It is designed to provide you with quick access to questions and answers, making it easier to find and manage them. You can view all questions in a list-view or a card view. Within both views, you will be able to visualize the question, along with the answer, number of votes, creator and publish date.

## All FAQs:

The ”All FAQs” section is where all of your space FAQs are stored. FAQ pages are displayed as either a list or board view. Each view gives you detailed info about your space FAQs including the title, number of categories, number of questions and the last edit date. Additionally, you can directly add questions to a given FAQ page by simply clicking “+”.

## All categories:

The “All categories” section contains all created categories associated with your questions. Categories are displayed within either a list or board and you can visualize the number of questions associated with each one.

## Unified search:

You can search for questions, FAQ pages and categories by simply typing your query in the search bar. Results will appear depending on the view you are on. For example, if you enter your search query while in the questions section, only questions will appear. The same applies for other sections.

## Filtering options:

Within each section, you have a variety of filtering options allowing you to filter and fine tune your views. For example, you can filter questions by category, contributor and publish date range.

Additionally, you can further customize the view by arranging questions alphabetically or by publish date.

## FAQ page view

The FAQ page gives you a detailed view of a specific FAQ. The FAQ page consists of two main sections: Questions and categories.

The Questions section contains all the questions created within a specific FAQ. Similar to the FAQ main dashboard, questions are arranged either within a list or board view.

The categories section consists of all categories within the FAQ that are associated with your questions.

On the top right of the view, you can start adding questions and categories to your FAQ page.

# Creating & managing questions and answers

Now that we have seen how to create a FAQ page and covered the different views, let’s see how you can manage questions. 

## Adding questions:

Questions can be added for either the FAQ main dashboard or the FAQ page.

- From either view, Select “Add question” within the “All questions” section.

- Specify the question and add an answer. The rich text editor allows you to properly format your text and add rich content including attachments, links, images and videos.

- Choose a category or create a new one
- Click “Save” to publish your question or “Save and add another” to publish another one.

The question will be visible within both the FAQ page as well as the FAQ main dashboard.

## Editing questions:

- Navigate to the question you want to edit and expand the view.
- Select the edit icon.

- Edit the question and answer.

- Click “Confirm”.

## Deleting questions:

- Navigate to the question you want to edit and expand the view.
- Select the delete icon

- Confirm your action by clicking delete in the dialog box

## Voting for questions:

You can either upvote or downvote questions and answers by pressing the up or down arrows. The number appearing between both arrows represents the number of upvotes minus the number of downvotes. To cancel a vote, press on the arrow already selected or the opposite one.

## Searching for questions:

You can search for questions by using the built-in search function available within the different FAQ views: dashboard and page.

Additionally, you can leverage Confluence advanced search to quickly locate questions, categories and FAQ pages.

From the top navigation menu, select Search, and then Advanced Search.

Type your search query, then select Type. Here, we have included three search types: FAQ, Category and Question.

Select a type. In our example, we are looking for questions including the terms “Free Trial”. So we will enter the search query, and the select the “Question” type to fine tune results.

# Adding & managing categories

Categories help you better organize your FAQ pages and classify questions making them easier to navigate and access. As mentioned earlier, categories can be created while adding questions, or separately.

## Adding categories:

- From the categories section, select “Add category.
- Choose the FAQ where you want to add a category.
- Add a brief description.
- Click “Confirm”.

The categories are listed within the “Category” section within both the global FAQ dashboard as well as the FAQ page

## Editing categories:

- Select the category you want to edit.
- Click the edit icon.

- Change the category name and hit “Confirm”.

## Deleting categories:

- Select the category you want to delete.
- Click the delete icon.

- Confirm your action by clicking delete in the dialog box.

# Share & embed FAQs within Confluence pages

The latest addition to FAQ for Confluence is the FAQ List macro. Using this macro you can include FAQ pages within Confluence pages for quick access. This is ideal if you like, for example, to include the FAQ within your space homepage or specific pages.

- Navigate to the Confluence page where you want to embed an FAQ.
- Type /FAQ List.
- Specify the FAQ you want to link to
- Set the display size of your macro (Small, Medium or Large) and hit update.

The FAQ will be visible within the page. You can adjust the width of the macro by selecting the available options in edit mode.

# FAQ usage in anonymous mode

FAQ for Confluence allows external/anonymous users to access FAQ content. They can now browse and view all FAQ details within public Confluence spaces. 

To enable anonymous access:

- Make sure that your Confluence site is public. Navigate to “Settings” > Global Permissions > Anonymous Access. There, click “Edit” and check the required boxes.
- Move back to your Confluence space, select “Space Settings” > “Space Permissions”.
- Select “Edit Permissions”. Select All boxes or the ones of your choice and hit “Save All”.

Once you save your changes, your Confluence space and of course the FAQ within it is public and can be accessed by anonymous users.

For now we enabled only view mode for anonymous.

We are currently studying the ability to add FAQ content as anonymous users. This has impact on the API we are using and the user experience (information to display, statistics, data coherence), so in order to offer the best experience to our users we are launching this feature in coming releases

# Feature FAQ articles within JSM portals

Confluence pages containing FAQs can be shared for everyone to see within the public support portal via Jira Service Management. This is ideal if you are looking to relay important FAQs to external stakeholders such as prospects, clients and partners.

- First, make sure that your Confluence site is public.
- Then, allow anonymous access to the specific space containing the FAQ article.
- Move to Jira Service Management to embed the FAQ within your support portal.
- Begin by linking the Confluence space and Jira Service Management. Select Space Settings, then Knowledge Base and specify the Confluence space.

- Select “Knowledge Base”, create a category under which you want to share the FAQ article.

- Click “Add article” to include the article under the category. Then, select Featured to place it at the top of the category.

Now, if you navigate to the support portal, you will find the created category under which you will be able to access the specific FAQ article.
